Job application tracker template

A free spreadsheet for the jobs you apply to: where each one is, what stage it reached and what happens next. Excel, Google Sheets or CSV, no sign-up.

The workbook has a frozen header, filters and a drop-down for the stage. In Google Sheets, open File, then Import, and upload the .xlsx.

The columns

  • Company: Who the job is with
  • Role: The job title as the posting writes it
  • Job link: The posting, so you can find it again after it closes
  • Location: City, or Remote
  • Stage: one of the stages below
  • Date applied: The day you sent it (YYYY-MM-DD)
  • Last update: The day the stage last changed
  • Next step: What you are waiting for, or what you owe them
  • Interview date: Day and time, in your time zone
  • Interview round: Screening, technical, final...
  • Contact: Recruiter or referrer
  • Pay stated: The range or figure the posting gives, if any
  • Notes: Anything else

The stages

The same stages Barista’s tracker uses, so a sheet kept by hand reads the same way.

  • Applying: Filled in, not sent yet
  • Applied: You submitted it
  • Pending Response: They confirmed they got it
  • Interview Scheduled: They want to talk
  • Offer: They made an offer
  • Rejected: Not this time
  • Ghosted: No reply in 2 months
  • Withdrawn: You stepped back from it

Or let Barista keep it for you

Barista, Guap’s free Chrome extension, fills application forms on any careers site and adds each one it fills to your tracker as a dated stage, with reminders before interviews. No copying rows by hand.

Questions, answered

Is the job application tracker template free?

Yes. Download it as an Excel workbook or a CSV file, with no sign-up and no email address.

Does it work in Google Sheets?

Yes. In Google Sheets open File, then Import, and upload the .xlsx file: the columns, the filters and the stage drop-down come with it. The CSV opens in any spreadsheet app.

What stages does it use?

Applying, Applied, Pending Response, Interview Scheduled, Offer, Rejected and Withdrawn: the stages of Barista’s own application tracker, so a sheet kept by hand and Barista’s tracker read the same way.

What should I write in each row?

One row per application: the company, the role and the link to the posting, its stage, the day you applied and the day it last changed, what happens next, interview details, a contact, the pay the posting states, and notes. The workbook’s second sheet explains each column.

How is this different from Barista’s tracker?

The sheet is filled in by hand. Barista, Guap’s free Chrome extension, adds each application it fills on a careers site as a dated stage, marks it sent when you submit, and reminds you before interviews.
